Privacy information
This page explains the information this website currently handles and the boundaries built around it.
Pre-launch draft · The business’s final legal identity, address, approved retention periods and adviser-reviewed wording must be confirmed before publication.
Who this information is for
Bucks Boilers Ltd operates the Provida Services website and customer portal. Previously Bucks Boilers. The same local team, now Provida Services. Privacy questions and requests about your information can be sent to info@bucksboilers.com.
Bucks Boilers Ltd, trading as Provida Services. Registered in England and Wales, company number 13992566. Registered office: 28 Hillary Close, Aylesbury, Buckinghamshire, HP21 9TN.
Information you choose to provide
- Service enquiry details such as your name, contact route, property postcode, requested service, urgency and description.
- Booking details you enter into the embedded ServiceM8 form, including contact, property, service and appointment information. That form is supplied directly by ServiceM8 for the business.
- An optional photo you deliberately attach to an enquiry.
- Business contact, existing-website and referral details you submit when asking about the Provida Platform.
- Account details such as your name, email and postcode, any contact/address details you save, verification requests and security/session records needed to create and protect your customer account.
- Assistant messages and replies are retained as conversation history. A signed-in customer can see conversations linked to their account; authorised business staff can review them to provide service and handle enquiries. Do not put passwords, payment-card details or unnecessary sensitive information into chat.
- Where the business has deliberately connected its operational account, existing customer, job, appointment, feedback, payment and communication history held in ServiceM8.
How it is used
- To respond to a service request and route it to the appropriate team or connected operational provider.
- To respond to a Provida Platform request without placing that sales prospect into a home-service or ServiceM8 job queue.
- To keep a delivery and audit state so a temporary integration failure does not lose a valid enquiry.
- To protect the service from abuse, diagnose failures and maintain security.
- To authenticate your account, send requested verification/sign-in emails, show information and documents linked to you, and let authorised staff provide account support through an audited customer preview.
- To measure a small allow-list of website actions only when you have allowed analytics.
Analytics boundary
Opt-in analytics records an anonymous session identifier, the same-site route and named events such as a service view or completed enquiry. The public event endpoint rejects arbitrary properties, so it cannot accept names, contact details, postcodes, form descriptions or chat text.
Operational customer analysis is kept separate from public website analytics. Any approved AI batch analysis receives a pseudonymous customer reference, coarse area and redacted text rather than a name, full address, email address, telephone number or exact map pin.
Storage and sharing
Platform records are tenant-scoped. Enquiries are written to the platform before any asynchronous provider delivery. Photos use private, tenant-prefixed object storage. Cloudflare supplies the application, database, storage, queue and security infrastructure. Where ServiceM8 access is deliberately enabled, read data is encrypted in transit, its API credential is encrypted at rest and access is restricted to authorised business staff.
The online-booking panel loads ServiceM8 content only after you choose a service. Information entered there is sent directly to ServiceM8 under the business’s existing operational account rather than being copied into the website form first.
The site does not use enquiry details for marketing merely because you asked for a service response. Marketing consent, if introduced, must remain separate.
The website assistant uses Cloudflare Workers AI to generate a reply from your question and relevant conversation context. Secure account emails use Resend. ServiceM8 supplies linked service information and documents. Supplier contracts, processing locations and transfer safeguards form part of the business’s data-protection arrangements.
Retention and your choices
Website chat history has a configured access-expiry period of 30 days from activity. An expired conversation is no longer available through the customer chat history. Access expiry does not, by itself, describe deletion from every system, log or backup. Account, service, document and financial records have separate retention requirements.
Contact info@bucksboilers.com to request access, correction, erasure, restriction or portability where those rights apply, or to object to processing. Some information may need to be retained to meet legal obligations or deal with a claim. We may need to verify your identity before disclosing or changing account information. You can also complain to the Information Commissioner’s Office at ico.org.uk.
